Terms of use

The rules for using HOA Power Tools, in the plainest language we can manage. Using the tools means agreeing to what is on this page.

Who this agreement is with

HOA Power Tools is a weXare product, operated by [operator legal entity to be configured] (“we”). This agreement is between that operator and you, whether you use the tools with an account or without one.

What the service does

HOA Power Tools drafts and calculates. You give it a message, a conversation or a set of budget figures, and it returns a draft or a calculation for you to read, edit, copy or export.

It never sends a message on your behalf. It has no access to your mailbox, your resident portal or your contact lists, and it will not email, post or notify anyone for you. Every result is a draft until you decide to use it, and sending remains something you do yourself in your own systems.

Nothing produced here is legal, financial, accounting or other professional advice, and using the tools does not create a professional relationship. Community governance is bound by your governing documents, your local rules and applicable law, none of which the tools evaluate.

A calculation reflects the figures you enter and the assumptions shown alongside it. It is arithmetic, not an approval: a dues change still requires whatever process your association actually follows. You remain responsible for reviewing any draft, verifying any figure, and deciding what to communicate.

What AI-drafted text can and cannot do

Several tools use a language model. Model output can be wrong, incomplete or confidently mistaken, even when it reads well. Before you use a draft, check names, dates, amounts, deadlines and anything that reads as a commitment. Where a tool flags missing information, treat the flag as part of the result rather than as optional detail.

You are responsible for what you send to residents, boards or anyone else, whatever helped you write it.

Your account

An account needs a verified email address and accurate registration details. Keep control of the mailbox you register with, since that is how you sign in. An account belongs to one person: do not share your sign-in codes. Tell us at [operator contact to be configured] if you think someone else has access to your account.

Free use and limits

Without an account you get 2 successful results across all tools. With a free account you get 20 AI uses per UTC calendar month, unlimited calculator runs, and 30 days of private history. Unused monthly allowance does not roll over.

There is no paid plan and no payment is required. Rate limits and one-run-at-a-time execution protect the service against abuse and cost. We may change these allowances; if we reduce them, the current figures stay visible on how it works so you can always see what applies to you.

Using the tools fairly

Please do not:

  • Paste information you are not permitted to share, including personal data you have no basis to process. Include what a tool needs and leave out what it does not.
  • Use the tools to harass, threaten, deceive or discriminate against anyone, or to produce a communication whose purpose is any of those things.
  • Try to reach another user's results, accounts or data.
  • Work around usage limits, whether by scripting, by automating fresh guest identities, or by any other means.
  • Scrape, resell or rebrand the service, or use it to build a competing product.
  • Attempt to disrupt, overload or probe the service or its infrastructure.

Your content stays yours

What you submit, and what a tool produces from it, belongs to you and the organisation you act for. You give us only the permission needed to run the operation you asked for, store the result for the retention period described in the privacy policy, and show it back to you. We do not sell your content and we do not publish it.

You confirm you have the right to submit what you paste. Producing an AI-drafted result involves sending your text to a third-party model provider; the arrangement and terms that apply to that processing are described in the privacy policy.

Availability and changes

The service is provided as it is, without an uptime commitment. Tools, allowances and features may change, and AI drafting may be limited or unavailable when a provider is down or a cost control is reached. The deterministic calculator and your saved results are designed to keep working when that happens.

Results expire on the schedule in the privacy policy. Export anything you need to keep, rather than relying on this service as a record.

Ending your use

You can stop at any time and delete your account from your account page, which removes active profile and result data within seven days and revokes your sessions. We may suspend or end access that breaks these terms, threatens the service, or puts other people’s data at risk.

Warranties and liability

To the extent the law where you are allows it, the service is provided without warranties of any kind, including that a result will be accurate, complete or suitable for a particular purpose. We are not liable for what you choose to send, publish or decide on the basis of a draft or a calculation, nor for indirect or consequential loss.

Some consumer protections cannot be excluded by agreement, and nothing here removes them. [governing law, venue and any liability cap to be set by the operator before launch]

Changes to these terms

When these terms change, this page changes and the date at the top is updated. Continuing to use the tools after that means the updated terms apply. Questions go to [operator contact to be configured].
